Why attendance data usually goes wrong

In most organisations attendance is technically being recorded — the problem is that it is recorded in three or four places that never quite agree. The biometric device has punches. The leave register has approved absences. A supervisor has a WhatsApp message about someone working from a client site. Payroll has a spreadsheet that tries to reconcile all of it on the 28th.

Every one of those reconciliations is a chance to underpay someone, overpay someone, or spend a day arguing about a punch that did not register. The fix is not better capture; it is having one register that all the sources write into, and having payroll read from that register rather than from a copy of it.

What the register actually holds

Each employee has a daily record carrying status (present, absent, late, half-day, on leave, holiday, week-off), the in and out timestamps, the source that produced them, and any correction made afterwards along with who made it. Because leave and WFH requests write into the same register on approval, an approved leave day cannot also show as an unexplained absence.

Corrections are audited, not silent. Every manual edit to an attendance record is logged with the user and timestamp. When someone disputes a deduction three months later, the answer is in the audit log rather than in somebody's memory.

Biometric devices without the middleware

Biometric attendance usually arrives with a Windows box in a corner running the vendor's sync utility. ADMINFACE talks to devices in two ways and needs neither a dedicated machine nor a manual export:

  • Pull — the platform connects to the device on a schedule and fetches new logs.
  • Push (ADMS) — the device posts punches to a receiver endpoint as they happen, which suits sites where the reader sits behind a router you do not control.

Supported hardware covers eSSL, ZKTeco and Hikvision readers, with per-device connection testing and a sync log so a device that stops reporting is visible immediately rather than at month end. There is more detail on the biometric attendance page.

Field and remote staff

Not everyone works where a reader is mounted. GPS check-in attaches a location to the punch, and the live tracking view shows where field staff are through the day — useful for sales teams, service engineers and delivery operations. Work-from-home days are handled as their own request type, so a WFH day is recorded as worked rather than as an absence that someone has to explain later.

Reporting that answers real questions

Attendance reporting filters by employee, department, branch and date range, and covers the questions that actually get asked: who was late this month and how often, which department has the worst absence rate, how much overtime a team logged, and how many paid days each person accrued for payroll. Reports export for anyone who wants to work on them elsewhere.

Compliance value

Attendance records are also statutory records almost everywhere. Hours worked, rest days and overtime are inspectable under working-time law in most jurisdictions — the Shops and Establishments Acts and the Factories Act in India, working-time regulations across Europe, wage-and-hour rules in the US — and overtime claims turn on documented hours. A register with timestamps, sources and an audit trail is a considerably better answer to an inspector than a reconstructed spreadsheet.

Working outside India

Attendance is one of the parts of HR that is genuinely country-neutral — a shift is a shift and a late mark is a late mark. Each organisation sets its own country and dial code at signup, its own currency symbol, its own financial year start and its own working hours, and the interface is available in English, Hindi, Arabic, French, German and Spanish. Biometric readers and shift rules work identically wherever they are installed.

Which biometric devices work with ADMINFACE?

eSSL, ZKTeco and Hikvision readers are supported through dedicated adapters. Devices can either be polled on a schedule or configured to push punches live using the ADMS protocol, so no on-site sync utility or dedicated Windows machine is needed.

Can employees clock in from their phones?

Yes. ADMINFACE is a progressive web app, so employees install it to their home screen from the browser without an app store download, and clock in from there. GPS location can be captured with the punch for field staff.

How does attendance connect to payroll?

They are the same system, so there is no export or import between them. Payroll reads the finalised attendance register directly to derive paid days, loss of pay and overtime, which removes the monthly reconciliation step entirely.

Can we correct a missed punch?

Yes. HR and admin users can edit any attendance record, and every edit is written to the audit log with the user and timestamp. Corrections are traceable rather than silent, which matters when a deduction is queried months later.
